Extract fan cleaning for sites in Oxford

Extract fan cleaning in Oxford, done properly

Cleaning removes grease, not wear. If we find worn bearings, a struggling motor or damage to the impeller, we’ll tell you and fan repair or replacement is something we also do. You will know whether the fan just needed cleaning or something more. Typical jobs include grease escaping from the fan outlet and hot, greasy smells near the fan, across discharge points, axial fans and in-line fans.

Town-centre kitchens in a place like Oxford often sit below flats or offices, and the extract can climb several storeys before it discharges. A riser needs proper access to be cleaned top to bottom, and anything we cannot reach goes on the report.

Our accreditations include CHAS, SafeContractor and ISO 9001, and we’re fully insured. On top of that, we are a BESCA Vent Hygiene Elite member, cleaning to BESA TR19® Grease, and we’ve been trading since 2009.

Your questions about extract fan cleaning in Oxford

Who enforces fire safety at workplaces in Oxford?

Oxfordshire Fire and Rescue Service is the fire and rescue service for Oxford. Records of extract cleaning are a sensible thing to have ready if a fire safety officer carries out an audit.

Do you work at weekends in Oxford?

Yes, we can come after you close and finish before you open. The work in Oxford can fit around your hours. When you phone us on 0345 646 2711 or use the quote form, mention when the site is quiet.

Do you repair extract fans as well as clean them?

Cleaning removes grease, but it cannot fix worn parts. We repair and replace extract fans as well, with a fixed quote first.

Which sectors do you work in?

We work for restaurants, pubs, hotels, schools, colleges, hospitals, care homes, offices and shops, plus food production and leisure sites.

How often does the fan need cleaning?

It’s cleaned with the whole extract, from every 3 months for 12 to 16 hours of cooking a day to every 12 months for 2 to 6 hours. Grease readings and the fan’s condition can show it needs more.

Can you come out in an emergency?

Yes. Our emergency line runs 24/7 for anything that can’t wait until a planned visit. Ring any time and tell us what’s happened.

Are you fully insured?

Yes. Duct Doctor is fully insured, and the details are available on request.

How long will it take to clean the fan?

One easily reached fan is quick, while fans on high roofs or in tight voids take longer. We plan it out of hours.

What we do, step by step

The first job on site is protection: floors, worktops and anything near the work are covered. Then we make the system safe and start. It takes an hour or two for one fan, longer when it’s hard to reach, and the area is cleaned down before we leave. Whoever holds the keys and signs off contractors at your site in Oxford is the person we need to speak to before the day.

  1. We locate the fan and plan how to reach and isolate it.
  2. It’s isolated so it can’t run while we work.
  3. We scrape the heavy grease from the blades and housing.
  4. The fan is degreased, taking care around the motor.
  5. It’s closed up, run, checked and photographed for the report.

Getting ready for the visit

  • Name a contact who can let us in at the agreed time
  • Move anything stored near the system
  • Let us know how we reach the system, including roofs, risers and plant rooms

Photos are the quickest way to a quote: wide shots of the system, close-ups of anything that worries you and how we’d get to it. Add the site type and your opening hours, and many jobs can be priced from that alone.

Advice

Common problems we fix in Oxford

A fan collects more grease when the filters let more through. When filters don’t seal, grease goes straight through to the fan, so the fan takes far more than it should.

If you notice any of these, it’s worth a diagnosis:

  • A heavily greased fan housing
  • Weak extraction at the canopy
  • A fan that has never been cleaned
  • Fat spreading onto the roof or wall by the fan

If you run a church or community hall kitchen, near St Clement's Church or elsewhere in Oxford, its extract still collects grease from every lunch and event.

What to look for in a quote

  • Whether the whole system is included, or only the parts that are easy to reach
  • When they can work, and whether that is outside your opening hours
  • Their accreditations, such as BESCA Vent Hygiene Elite, CHAS or SafeContractor
  • How VAT is shown on the quote

Questions to ask before you book

What staff can safely do

For ventilation and air handling systems, in-house care is mostly about checks: clear grilles, a log of filter changes and reporting anything odd. Cleaning inside ducts and units is specialist work.

Staff cleaning and specialist work aren’t the same thing. Wiping filters daily and washing them weekly keeps the visible parts in order, but grease that has passed the filters is out of reach. That part needs specialist access and equipment.

Landlords, agents and facilities managers

We work for landlords, managing agents and facilities managers as well as the people running the site. Where a system serves more than one tenant, such as a shared riser, it helps to agree who arranges the work, and we are happy to quote for all of it.

Whether it’s one building or many, the standard is the same: diagnosis, a fixed price, work booked around your hours and a written report with photos.

How the job changes from site to site

Fan housings and motors

Some fans use a belt drive. We clean around them and note any wear for your records.

Inline duct fans

Inline fans can be in tight spaces, so the method is planned in advance. Anything out of reach is recorded.

What a clean won’t put right

Extract fan cleaning can’t fix everything, and we’d rather say so up front. It doesn’t solve:

  • An undersized fan that cannot cope
  • Damaged fan blades
  • Electrical faults in the fan’s supply or controls (an electrician’s job)

Not sure which it is? You can give us a ring on 0345 646 2711, or send details by email and we will tell you honestly.

Grease, kitchens and Oxford

There are about 366 restaurants, cafés and canteens and about 47 takeaways within about 1.5 miles of central Oxford, according to the Food Standards Agency’s register. Each kitchen extract among them ends at a fan, and grease on the impeller strains the motor. In Oxford, food businesses are inspected by environmental health officers from Oxford City council. A greasy canopy or dripping filters are the sort of thing an inspection can pick up. A TR19® certificate and photo report after each clean gives you a record to show an inspector. Oxford is covered by Oxfordshire Fire and Rescue Service. The Fire Safety Order puts the duty on whoever runs a kitchen to control its fire risk, and a greasy duct is fuel.

Older buildings often hide long, awkward duct runs, and if you run a kitchen at a historic venue in the area (Holywell Manor is about 0.8 miles north-west), access may need planning. Healthcare kitchens cannot easily close, so their extracts are cleaned overnight or between meal services; the nearest hospital to Oxford is Warneford Hospital, about within half a mile east.

Why act early in Oxford

A greasy fan has to work harder to move the same air. Airflow at the canopy drops and the kitchen gets hotter and smokier and the motor works harder. If an insurer or inspector asks when the work was last done, an up-to-date certificate answers the question.

What you pay reflects the actual work. That’s why every job is surveyed first, and the price is agreed before work begins.
