Fixed quotes for ventilation duct cleaning in Capstone

The quote reflects the site in front of us. We consider:

  • Any permits to work or inductions
  • Travel, parking and unloading
  • One-off work versus a regular cycle
  • Working hours and out-of-hours timing

Every site is different, so we price each one individually. The size of the job, how we reach it, its condition and the working hours all play a part.

What to send for a quote

Many jobs can be priced from photos and some basics. Send what you can of the following:

  • Wide photos of the system and the area around it
  • The roof, plant room or outside wall the system runs to
  • Any previous report or certificate
  • The site address and the type of premises

Every quote begins with a look at the system, from your pictures and details or, where that is not enough, a survey on site. After that, you get a fixed price for the work so you know the cost before work begins.

Ventilation duct cleaning in Capstone, done properly

Beyond the kitchen, TR19® Air covers the ordinary supply and extract systems that serve offices, schools and other buildings. It’s risk-based and inspection-led, so every job starts with a look inside the ducts. The work covers toilet extract systems, general extract ductwork and hospitals and care homes, and people most often call us about odours carried round the building by the ducts and systems with no record of inspection or cleaning.

In rural areas, ventilation units are often in roof voids or outbuildings, where filters and drain trays get forgotten.

Duct Doctor has been trading since 2009, as a BESCA Vent Hygiene Elite member, cleaning to BESA TR19® Grease. CHAS, SafeContractor and ISO 9001 are in place too, and we carry full insurance.

Do you need ventilation duct cleaning in Capstone?

Many systems run for long hours, day after day, and every hour moves more dust through the ducts. Heavier use means faster build-up.

What we are most often called out for:

  • Grilles and diffusers streaked with dirt
  • Stuffy rooms and stale air
  • Supply ducts with years of dust inside
  • Blocked general extract ductwork

Wherever a school like Hempstead Infant School has ducted ventilation, a half-term visit keeps the work out of lesson time.

Questions to ask before you book

  • Whether the figure could change on the day
  • What insurance they carry
  • Whether the quote is based on a survey or pictures
  • Whether the whole system is included, or only the parts that are easy to reach

Our hiring checklist

Honest limits

We’d rather tell you now than book work that will not help, so here are the limits:

  • Cooking extract ducts, which are a separate specialist clean
  • Ventilation that is undersized for the building
  • Problems with how the system is controlled

If in doubt, call us on 0345 646 2711 or send us an email and we will say what we think.

What the work covers

  • Offices and schools
  • Toilet extract systems
  • Supply ductwork
  • General extract ductwork
  • Hospitals and care homes
  • Grilles and diffusers

Staff cleaning versus specialist work

In-house cleaning and specialist cleaning do different jobs. Wiping filters daily and washing them weekly keeps the visible parts in order, but grease that has passed the filters is out of reach. Reaching it takes a specialist with the right equipment.

Some jobs should never be done in-house: opening up ductwork, cleaning fans, drop testing fire dampers and measuring grease need training, the right equipment and safe access. That’s our job.

Different parts, different methods

Grilles and diffusers

Where they come out, grilles are taken down and cleaned, then refitted.

Supply ductwork

Supply ducts carry air from the AHU into the rooms. Fine dust that gets past the filters settles along the runs, and it’s cleaned out through access panels.

Capstone buildings and their air

Going by the FSA’s register, there are about 12 schools, colleges and universities and about 20 caring premises (care homes, nurseries and hospitals) serving food in and around Capstone, up to about a mile and a half out. Classrooms, bedrooms and care spaces are often served by ducted air, and that ductwork collects dust over time. The nearest hospital to Capstone is Medway Maritime Hospital, about 1.7 miles north-west. Healthcare ventilation is a good example of why supply ducts need inspecting: the air goes straight to patients. Capstone is about 30 miles from central London, well within the area we cover across London and the South East. We work evenings, overnight and at weekends, so the visit fits around the site.

Medway Maritime Hospital, about 1.7 miles north-west, is the nearest hospital to Capstone, and healthcare sites of every size need their supply air kept clean.

Capstone: your questions answered

Do you cover smaller places like Capstone?

Yes, we work in villages as well as towns, and Capstone is covered. Photos of the system and directions to the site help us plan the visit.

Can a school’s ventilation in Capstone be done out of term time?

Yes, out-of-term visits are normal for schools. With about 12 schools and colleges on the FSA’s register within roughly a mile and a half of Capstone, it pays to plan holiday dates ahead. Just give us a ring on 0345 646 2711 or use the quote form with your term dates and we’ll plan around them.

Can you quote from pictures?

In many cases, yes. Photos of the system and the access, plus your opening hours and last report, are often enough. Larger or hidden systems need a survey on site first.

Do you have a 24/7 line?

Yes. There’s a 24/7 emergency line, for problems that cannot wait. Call us any time and explain what’s happened.

Do you work with multi-site operators?

Yes. Tell us the addresses and what each needs and you’ll get one fixed quote.

What’s TR19?

BESA’s ventilation hygiene specification in two main parts: TR19® Grease for kitchen extracts and TR19® Air for supply and extract systems. It is not law, but it’s the benchmark.

Who has the legal duty for fire safety?

The Fire Safety Order 2005 calls them the responsible person: normally the employer or whoever controls the premises. Landlords, facilities managers and managing agents can also hold responsibility.

Do you inspect before cleaning?

Yes. We always survey first, on site or from photos and drawings, then we send you a fixed quote.

Keeping the system healthy

No system stays clean for ever, but care slows the build-up. A few tips:

  • Report leaks or damp near ceilings and risers
  • Store cleaning certificates where auditors can find them
  • Include grilles in the cleaning rota
  • Switch the ventilation off or cover grilles during dusty building work

Share the report with whoever looks after the building’s maintenance, so the history stays together. Year on year, it shows how fast dust builds up.

Good filter maintenance protects the ductwork. Overloaded or poorly seated filters let dust straight through.

What we do, step by step

Every visit runs to the same pattern: sheeting and protection first, make the system safe, carry out the ventilation duct cleaning, clear away and leave you the report. On site, the work takes a day or less for a small system and a series of visits for a large one. Photos of the system and how to reach it help us plan a visit to Capstone.

  1. We survey the system from drawings, photos or a site visit.
  2. Inspection comes next, with photos of the inside of the ducts.
  3. We protect the rooms beneath and switch the system off.
  4. We clean the ductwork, grilles and diffusers through access panels.
  5. You get a TR19® certificate and photo report, with any unreached sections noted.

Before we arrive

  • Let us know when the site is closed or quiet
  • Let us know about parking and loading
  • Have your last certificate or report to hand
